Add and manage people

Open People. You need permission to view people, and separate permissions to edit details, change status or manage access. Your management scope determines whose records are available.

  1. Select Add a person, or your organisation’s equivalent wording.
  2. Enter their name, email and type, then choose the appropriate status.
  3. Add teams, cleared roles and the other details you know.
  4. Review the invitation option before saving. If you’re preparing records before launch, leave invitations off.

For a larger group, use CSV import. General profile editing does not grant access levels or change reporting lines.

Open a person’s record. Tabs group their overview, getting started, safeguarding, references and work records according to your permissions and enabled features. You may see fewer tabs than another administrator.

An Applicant needs their application reviewed. Approve application moves them to Onboarding, where they can complete the getting started steps. Review the outstanding steps before using Activate to make them Active.

Other statuses include Paused, Left and Declined. A paused person can still sign in; pausing is not the same as ending their access. Mark someone Left when they leave and review the organisation’s retention policy.

Use the person’s Access tab for access levels. Use Settings → Reporting and approvals for managers, company areas and scopes. Only an owner can change a management scope or grant Owner access. The last owner cannot be removed.

For an existing eligible account, Resend sign-in invitation is available from its actions menu. Check the email address before sending it.
