Get new starters ready
Use Settings → Onboarding and checks to choose the steps people must complete. Steps can apply to everyone or selected types, roles and teams. Keep the instructions specific to your organisation.
Review a starter
Section titled “Review a starter”- Open the person’s record and Getting started.
- Check each outstanding step and any submitted information.
- Review references, training and checks using the tabs you have permission to access.
- Record any manager checks, such as an induction or ID sighting.
- When the required steps are complete, review and activate the person. Automatic activation is a separate organisation setting.
Owners are not treated as incomplete starters. There is also a way to mark existing people’s getting started steps complete in bulk; use it for people whose checks have already been reviewed, not to bypass missing information.
References
Section titled “References”People provide their referees’ details. The app emails a form and can chase unanswered requests. A reply being received is different from a manager accepting it. Review the response and record the decision.
DBS checks
Section titled “DBS checks”Record the level, certificate details, relevant dates and outcome. Certificate physically seen records when the original was sighted and by whom. A self-declaration does not establish that the certificate has been physically seen. The app keeps the check record, not a copy of the DBS certificate.
Right to work
Section titled “Right to work”A manager with the required permission records the method, checked date, outcome and any follow-up date. Staff cannot complete this step themselves. Record an evidence reference through your agreed process. The app does not perform a Home Office check or decide whether someone has a legal right to work.
Check Safeguarding for missing or expiring checks. Role eligibility also depends on the requirements configured for that role.
